Mortgage operations, without the repetitive admin.
Identify incoming documents, detect missing information, prepare applicant follow-ups and keep mortgage applications moving — while advisers stay focused on advice and submissions.
One case type · Scoped around your CRM · No sales deck
Document chase is quietly the biggest cost in a mortgage practice.
Every application needs the same pile of documents, chased from the same handful of applicants, matched against lender-specific requirements, logged in the CRM and followed up until complete. It's repeatable work that currently sits with the people least suited to it: advisers and case progressors.
You don't know what's missing until you look
Payslips, bank statements, ID, proof of address, deposit evidence — each case has 20+ items. Which cases are missing what, right now, is a question that takes an hour to answer manually.
Chasing applicants eats adviser time
The same "we still need your three months of statements" email, written slightly differently, is being sent across every open case — by people who should be structuring deals or submitting cases.
Inconsistencies get spotted at submission
Statements with missing periods, documents in the wrong name, expired IDs. By the time the packager or lender flags them, the applicant has moved on and the case loses days.
Six steps, one case, every time.
Tola operates in the background against each live application. The adviser sees a clean review queue: what's new, what's missing, what needs an approval. Nothing automated reaches the applicant without a human saying yes.
-
Application information is retrieved from your CRM or application platform
Case metadata, applicant details and the lender-specific document requirements are pulled from your existing system via supported API or webhook.
-
Documents are collected from email, upload portals and document stores
The shared inbox, applicant upload portal, SharePoint or OneDrive case folders are monitored for new documents, matched back to the right case automatically.
-
Documents are classified and matched against application requirements
Each file is identified — "P60", "three months of current account statements", "proof of deposit", "AML ID" — and ticked off against the lender's requirements checklist for that application.
-
Missing information, incomplete periods and inconsistencies are flagged
Gaps in statement periods, mismatched names, expired IDs, pay-slip discrepancies and other issues are surfaced in a review queue with the specific problem explained in plain English.
-
Applicant follow-up messages are prepared for adviser approval
Chaser emails are drafted per applicant, grouped so each person gets one message covering everything outstanding — not three. Advisers approve, edit or reject before sending.
-
Relevant application statuses are updated in your systems
Approved outcomes — documents received, items ticked off, status changes, notes — are written back to the CRM or application platform through supported integrations.
Works with the stack you already run.
Tola connects to the systems your team already uses day-to-day. We don't ask you to move your data or switch CRMs. Where a specific integration isn't yet built, we'll say so during scoping — not after you've signed.
We don't publish a logo wall of "integrations we support" that's really a list of things we've read about. If a specific CRM, portal or lender interface matters to you, bring it to the scoping call and we'll tell you what's already built, what we can build, and what's genuinely out of scope.
Advisers stay accountable. Tola handles the admin.
Mortgage advice is regulated, lending decisions sit with the lender, and submissions are the broker's responsibility. Tola is designed around that reality — not around replacing it.
What stays with the adviser
Every regulated or client-facing step requires explicit adviser approval. Tola prepares, drafts and flags. The adviser decides, signs off, and submits.
- Verification of applicant identity and supporting evidence stays with the adviser.
- Regulated advice, suitability and lender selection are never automated.
- Final application submission to the lender remains an adviser action.
- Applicant communications are drafted but held in a review queue until approved.
- A full audit log records every classification, draft, approval and system update.
Things brokers usually ask first.
Will Tola replace our case progressors or packagers?
No. It removes the repetitive portion of their work — identifying what's missing, chasing applicants, re-keying between systems. The judgement work (reviewing suitability, handling lender queries, managing applicants through tricky cases) stays with your people. In most practices, this makes case progressors more effective, not redundant.
Does Tola interface with specific Irish lender portals?
Where a lender exposes an API, yes. Where a lender only has a portal, we can run authorised browser automation under credentials you control and audit, provided it's permitted by the lender's terms. Interface coverage is agreed during scoping.
How does Tola handle sensitive applicant data?
Documents and data are processed in EU regions. We request narrowly scoped permissions per workflow — not blanket admin access. We don't train models on your data, and document retention is configured to match your firm's existing policy and Central Bank obligations. Full details on the security page.
How does pricing work?
Monthly, based on the case volume covered by the automated workflow. Fixed scope, fixed price — no per-seat sprawl and no "contact us for pricing" after signing. Commercials are agreed up front and reviewed as scope expands.
Can we see what Tola actually produces before deciding?
Yes. In the discovery call we walk through the review queue, the exception handling, the draft chaser emails and the audit log — on a workflow relevant to your practice. Where screens are illustrative rather than live production systems, we label them that way.
Pick one case type. See the workflow run.
Bring one specific flow — first-time buyers, re-mortgages, buy-to-let — and we'll show you how it would run on Tola against your CRM and inbox, and the business number it would move.
