Renewals, without the spreadsheet gymnastics.

Prepare renewal submissions, chase documents from insureds, coordinate quotations across markets and surface the exceptions that actually need a broker — so your team stops living in the renewal diary.

One class of business · Scoped around your broking system · No sales deck

Where the time goes

Renewal season is the same work, every year, under pressure.

Every policy comes up for renewal on a schedule your team can see months out — and yet it compresses into the final few weeks. Document chase, MTA follow-up, quote comparison and submission tidy-up are repeatable work that currently lives in the inboxes of your most experienced brokers.

Problem · Renewal pipeline

You're always working the next 60 days

Renewal invites go out, insureds reply piecemeal, information updates arrive weeks apart. Keeping a clean view of what's complete, what's quoted and what's bound is a job in itself.

Problem · Market coordination

Quotation submissions are near-identical, done manually

The same risk, re-packaged into each insurer's submission format. Underwriter follow-up, additional questions and quotation returns arrive in different shapes and have to be normalised for comparison.

Problem · Exceptions

Material changes get spotted late

Turnover changes, new premises, claims experience, additional operations — subtle details in the client's response that materially affect risk get buried in email threads and missed until bind.

How the renewal workflow runs

From renewal diary to bound, with the broker always in the loop.

Tola runs the repetitive part of renewal operations — chasing information, formatting submissions, surfacing exceptions. Advice, negotiation and binding stay with the broker.

  1. Upcoming renewals are retrieved from your broking system

Renewal diary, policy data, insured contacts and prior-year submission information are pulled from your broking platform via supported API or export.

  2. Documents and updates are collected from insureds

Renewal questionnaires, MTAs, financial information and supporting documents are gathered via email, upload link or document store and matched to the correct policy.

  3. Submissions are classified and compared to the expiring policy

Changes vs. prior year — turnover, headcount, locations, business activities, claims — are extracted and highlighted against the expiring submission for broker review.

  4. Material changes and inconsistencies are flagged

Significant risk changes, missing MTAs, claims disclosures and other items are surfaced in a review queue with the specific concern described, not as raw alerts.

  5. Follow-ups and insurer submissions are drafted for broker approval

Client chasers and insurer submission packs are prepared in your firm's voice and format, held in a review queue until a broker approves, edits or rejects.

  6. Quotation returns are normalised and summarised

Insurer responses — quotations, declines, counter-offers — are extracted into a comparable format for broker review, with the underlying documents linked for sign-off.

Integration surfaces

Fits into your broking stack, not around it.

Insurance brokers run specialised platforms with narrow API surfaces. We're explicit during scoping about what integrates cleanly today, what needs file exchange, and what sits behind an insurer portal.

Where an insurer has no API, authorised browser automation under credentials you control — only where permitted by the insurer's terms.

We don't claim bind-in-your-sleep connectivity to specific carriers. Insurer connectivity is case-by-case, we'll be straight with you about what's practical.

Human oversight

Brokers negotiate. Tola handles the paperwork.

Advice, market selection, binding and the broker's duty of care sit with your regulated people. Tola prepares the submission, surfaces the exceptions and tracks the diary.

What stays with the broker

Every market-facing or client-facing action requires explicit broker approval. Tola reduces the keyboard time around decisions, not the decisions themselves.

  • Market selection, insurer negotiation and placement decisions remain with the broker.
  • Advice on cover, limits and endorsements is never automated.
  • Submissions to insurers are drafted but not sent without broker approval.
  • Client communications are prepared in your voice and held in a review queue.
  • A full audit log records every classification, draft, approval and write-back.
Insurance-specific questions

Things broking firms usually ask first.

Will Tola submit to markets on our behalf?

Only with explicit broker approval per submission. Tola prepares the submission pack in the insurer's required format, drafts the covering message, and holds everything in a review queue. The broker approves — then it goes.

How does Tola handle material disclosure?

By making it visible. Changes from the prior-year submission — turnover, claims, operations, locations — are highlighted explicitly in the broker's review view, with the underlying source document linked. Material disclosure remains the broker's responsibility; we make it harder to miss.

What about regulated data handling?

Documents and data are processed in EU regions, scoped per workflow, with no model training on your data. Retention windows are configured to match your firm's existing policy and your regulatory obligations. See the security page for the full posture.

How does pricing work?

Monthly, based on the volume of renewals or policies covered by the workflow. Fixed scope, fixed price — no per-seat sprawl and no "contact us for pricing" after signing. Commercials are agreed up front and reviewed as scope expands.

Can we see a renewal workflow before deciding?

Yes. In the discovery call we walk through the review queue, the exception flagging, the submission preparation and the audit log. Where we're using illustrative screens rather than live production systems, we label them that way.
